This key support role functions as a trusted team member responsible for day-to-day administrative and operational activities. This individual will possess exceptional communication skills, ensure seamless execution of priorities, and operate with autonomy.<br /> What you'll do:<br /> • Provide administrative support for the Executive, coordinating meetings, scheduling, and setting up client/staff meetings, lunches, and heavy calendar management in a fast-paced creative environment<br /> • Proactively anticipates needs and identifies opportunities to optimize time and impact<br /> • Adapt quickly to ''in the moment changes'', ensuring continuous communication and coordination<br /> • Prepare for meetings - including agendas, briefings and follow-up actions<br /> • Responsible for booking travel, manage reservations, check-in for flights and be on standby when executive is traveling<br /> • Proactively organize and prioritize daily workload<br /> • Handle sensitive and confidential information with discretion<br /> • Assist with general office errands, support, and assist with various administrative tasks and projects as needed<br /> • Ad hoc projects and perform other duties as assigned.<br /> Who you are:<br /> • Outstanding organizational and time-management skills with the ability to manage competing priorities<br /> • Ability to deliver complex messages confidently - clear, concise, and professional<br /> • Superior interpersonal and relationship-building skills with the ability to communicate effectively across all levels of the organization<br /> • Action oriented problem solver that operates in a calm, steadfast, and detail-oriented manner<br /> • Proficiency with digital collaboration tools (Microsoft 365, Teams, Zoom, Concur, etc.).<br /> • Ability to navigate within a complex global organization with flexibility and resilience<br /> • Demonstrated ability to manage confidential and sensitive information with sound judgment<br /> • Stay calm and centered during moments of high pressure while maintaining a sense of urgency<br /> • Prior music or entertainment industry experience supporting senior level executives preferred<br /> What we give you:<br /> • You join an inclusive, collaborative and global community where you have the opportunity to fuel the creative journey<br /> • A modern office environment designed to foster productivity, creativity, and teamwork<br /> • Our Hybrid with Flexibility approach combines the flexibility of remote working with the benefits of in-person collaboration whenever we need to come together to do our best work.
