Title: CPT-11611 Real Estate Investment Research & Administrative Virtual Assistant

Independent Contractor – CPT-11611 Real Estate Investment Research & Administrative Virtual Assistant/Business Support VA/Entry- Senior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

A Northern Virginia real estate investor specializing in fix-and-flip opportunities is seeking a Business Support VA to handle property research, data collection, direct-mail preparation, spreadsheet management, and recurring administrative work.
The client already has established templates and research processes. Direct real estate or construction experience is not required; the priority is finding someone who is strong at research, data organization, follow-through, and technology.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

Property & Lead Research

  • Research probate properties and other potential acquisition opportunities
  • Identify properties that may fit wholesale, fix-and-flip, or fix-and-rent strategies
  • Search PropStream, Stack, and similar platforms for property and ownership information
  • Gather owner names, addresses, property details, and relevant public information
  • Validate information across multiple sources when needed
  • Flag properties that meet the client’s established acquisition criteria

Data & List Management

  • Input and maintain property and owner data in Excel or Google Sheets
  • Clean and organize scraped or exported lead lists
  • Remove duplicates and incomplete records
  • Track research status and completed work
  • Maintain consistent data formatting
  • Prepare clean outreach lists for direct-mail or email campaigns

Outreach & Administrative Support

  • Prepare and send approved letters through OpenLetter Connect
  • Use established letter and email templates
  • Maintain mailing records and outreach history
  • Track completed outreach and future follow-up dates
  • Assist with recurring administrative and executive-assistant tasks
  • Handle occasional calls when required

Research & AI Support

  • Use AI tools to improve productivity and research efficiency
  • Conduct additional online property or ownership research
  • Assist with data scraping from approved sources
  • Follow documented research processes and templates
  • Escalate unclear property or ownership information rather than guessing

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Executive assistant, administrative, research, or data-management experience required
  • Strong Excel / Google Sheets skills required
  • Online research and data-scraping experience strongly preferred
  • AI tool familiarity preferred
  • PropStream or similar property-data platform experience is a plus
  • Direct-mail platform experience is a plus
  • Real estate or construction experience is a plus, but not required
  • Strong phone communication required for occasional calls

IDEAL CANDIDATE PROFILE

  • Strong researcher with excellent attention to detail
  • Comfortable working extensively in spreadsheets
  • Reliable with repetitive, process-driven work
  • Strong written and spoken English
  • Technically comfortable and familiar with AI tools
  • Able to work independently from templates and SOPs
  • Comfortable learning real-estate-investment terminology after hire

SOFTWARE

  • Microsoft Excel / Google Sheets
  • PropStream, Stack, or Similar Property Research Platforms
  • OpenLetter Connect
  • AI Productivity Tools

Work Schedule

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client

Common Interview Questions And Answers

1. HOW DO YOU PLAN YOUR DAY?

This is what this question poses: When do you focus and start working seriously? What are the hours you work optimally? Are you a night owl? A morning bird? Remote teams can be made up of people working on different shifts and around the world, so you won't necessarily be stuck in the 9-5 schedule if it's not for you...

2. HOW DO YOU USE THE DIFFERENT COMMUNICATION TOOLS IN DIFFERENT SITUATIONS?

When you're working on a remote team, there's no way to chat in the hallway between meetings or catch up on the latest project during an office carpool. Therefore, virtual communication will be absolutely essential to get your work done...

3. WHAT IS "WORKING REMOTE" REALLY FOR YOU?

Many people want to work remotely because of the flexibility it allows. You can work anywhere and at any time of the day...

4. WHAT DO YOU NEED IN YOUR PHYSICAL WORKSPACE TO SUCCEED IN YOUR WORK?

With this question, companies are looking to see what equipment they may need to provide you with and to verify how aware you are of what remote working could mean for you physically and logistically...

5. HOW DO YOU PROCESS INFORMATION?

Several years ago, I was working in a team to plan a big event. My supervisor made us all work as a team before the big day. One of our activities has been to find out how each of us processes information...

6. HOW DO YOU MANAGE THE CALENDAR AND THE PROGRAM? WHICH APPLICATIONS / SYSTEM DO YOU USE?

Or you may receive even more specific questions, such as: What's on your calendar? Do you plan blocks of time to do certain types of work? Do you have an open calendar that everyone can see?...

7. HOW DO YOU ORGANIZE FILES, LINKS, AND TABS ON YOUR COMPUTER?

Just like your schedule, how you track files and other information is very important. After all, everything is digital!...

8. HOW TO PRIORITIZE WORK?

The day I watched Marie Forleo's film separating the important from the urgent, my life changed. Not all remote jobs start fast, but most of them are...

9. HOW DO YOU PREPARE FOR A MEETING AND PREPARE A MEETING? WHAT DO YOU SEE HAPPENING DURING THE MEETING?

Just as communication is essential when working remotely, so is organization. Because you won't have those opportunities in the elevator or a casual conversation in the lunchroom, you should take advantage of the little time you have in a video or phone conference...

10. HOW DO YOU USE TECHNOLOGY ON A DAILY BASIS, IN YOUR WORK AND FOR YOUR PLEASURE?

This is a great question because it shows your comfort level with technology, which is very important for a remote worker because you will be working with technology over time...
