Job Description:

  • Provide project coordination and administrative support across Contracting & Analytics client engagements and internal initiatives.
  • Coordinate project intake by documenting requests, gathering required information, and supporting the assignment and prioritization of work.
  • Create and maintain project records, task lists, schedules, milestones, and supporting documentation in Wrike.
  • Track project activities, deadlines, dependencies, and deliverables, following up with assigned team members to support timely completion.
  • Support new-client onboarding and project kickoffs by coordinating meetings, preparing materials, documenting requirements, and maintaining implementation timelines.
  • Assist Client Success Managers and team leadership with routine client communications, project updates, scheduling, and follow-up activities.
  • Serve as a day-to-day coordination contact for designated client and internal requests, routing questions to the appropriate subject matter expert or leader when needed.
  • Prepare meeting agendas, capture notes and decisions, document action items, and distribute clear follow-up communications.
  • Support recurring project status meetings by updating project information and compiling progress, risks, dependencies, and outstanding decisions.
  • Maintain accurate and current project documentation, client records, status reports, and operational files.
  • Support coordination across Contracting & Analytics, Client Relations, Capsule, Drug Launch, Policy & Strategy, and other internal teams.
  • Serve as the primary administrator and champion Wrike for the Contracting & Analytics team, driving adoption, standardization, and continuous improvement.
  • Assist with the day-to-day administration of Wrike for the Contracting & Analytics team, including project setup, task maintenance, workflow consistency, dashboards, and routine reporting.
  • Help team members follow established Wrike practices and provide basic guidance related to project setup, task updates, and documentation expectations.
  • Monitor project records for overdue tasks, missing information, unresolved dependencies, or potential delivery concerns and escalate issues to the appropriate project owner.
  • Compile project status, workload, and capacity information to support leadership’s forecasting, resource planning, and prioritization discussions.
  • Support the development and maintenance of project templates, standard operating procedures, checklists, and other tools that promote consistent execution.
  • Identify opportunities to improve coordination, documentation, project visibility, and administrative efficiency.
  • Maintain a working understanding of Contracting & Analytics services, client commitments, and internal processes to support accurate project coordination.
  • Participate in professional development related to project management, client service, pharmaceutical market access, and Medicaid.

Requirements

  • Bachelor’s degree in related field, or 3+ years’ experience managing simultaneous projects/clients in complex environments.
  • Proficient in Microsoft Office and Microsoft Excel.
  • Project Management Software (i.e. Wrike) experience is preferred.
  • Knowledge regarding the pharmaceutical industry is preferred but not required.
  • Medicaid experience is preferred but not required. #LI-Remote

Summary

The Project Coordinator, Contracting & Analytics plays a critical role in supporting the growth and operational effectiveness of the Contracting & Analytics team. This position provides dedicated ownership of client coordination, project intake, implementation planning, timeline management, and consistent follow-through across multiple workstreams. Serving as a central liaison between clients and internal teams, the Project Coordinator helps establish clear expectations, maintain accountability, and ensure projects progress in an organized, visible, and timely manner.

The Project Coordinator also leads the day-to-day use of Wrike within the Contracting & Analytics team, ensuring projects are structured consistently, responsibilities and deadlines are clearly documented, and project status and team capacity are visible to key stakeholders. By managing the operational layer of client engagements, this role enables subject matter experts and analysts to remain focused on strategic, technical, and analytical work while supporting high-quality execution, client satisfaction, retention, and sustainable growth.

This role provides an opportunity to build foundational experience in project management, client coordination, and Artia’s Contracting & Analytics operations. As the Project Coordinator demonstrates increasing proficiency, sound judgement, and the ability to independently manage client engagements, the position may provide a developmental pathway into a Client Success Manager role.
