Role Description

We are seeking an Intake Governance PM / VA to help establish and manage intake governance processes across cross-functional teams. This role will focus on coordinating incoming requests, standardizing workflows, improving visibility, and documenting operational processes using tools such as JIRA and Confluence. The ideal candidate is highly organized, process-driven, and experienced in project coordination, Agile governance, and stakeholder communication within fast-paced operational or technology environments.

Key Responsibilities

  • Intake Governance & Process Management
    • Establish and manage centralized intake governance processes for projects, requests, enhancements, and operational tasks.
    • Define intake workflows, prioritization models, approval processes, and tracking mechanisms.
    • Ensure requests are properly documented, categorized, prioritized, and assigned.
    • Create governance standards to improve transparency, accountability, and delivery tracking.
  • JIRA & Workflow Administration
    • Manage and maintain JIRA boards, workflows, dashboards, and ticket structures.
    • Create and document standardized templates for:
      • Project intake
      • Change requests
      • Operational tasks
      • Escalations
      • Resource requests
    • Monitor backlog hygiene, sprint readiness, and workflow compliance.
    • Support reporting and dashboard visibility for leadership and operational teams.
  • Project Coordination & PMO Support
    • Coordinate activities across business, operations, product, and technical teams.
    • Track project timelines, dependencies, action items, and deliverables.
    • Facilitate intake review meetings, status updates, and governance checkpoints.
    • Prepare meeting agendas, documentation, and follow-up actions.
  • Process Documentation & Knowledge Management
    • Document operational workflows, SOPs, governance models, and team processes.
    • Maintain process documentation within Confluence or similar platforms.
    • Identify process gaps and recommend improvements for scalability and efficiency.
    • Support continuous process optimization initiatives.
